Commercial Loan Assistant- Penn Valley Bank

BASIC FUNCTION:

Under the direction of the Commercial Loan Officer or administrative manager, perform loan processing, set‑up, and follow‑up responsibilities associated with the documentation of credit to the bank's borrowers. Incumbents at this level will be able to successfully assist with processing and follow‑up on loan documents as directed by loan officers.

JOB RESPONSIBILITIES:

ESSENTIAL JOB DUTIES:

Perform full range of duties pertaining to the loan processing function. Perform system inquiries to obtain credit history information on potential borrowers, provide documents to the Loan Documentation department for new and renewal loans closing as required. Ensure that proper documents and disbursements are prepared accurately for loan officer performing the closing. Obtain pay‑off information as necessary. Review files after closing to ensure that all documents required are signed and delivered per the policy of the bank.

Review and monitor documentation exceptions for account officers. Follow up to ensure receipt of documents required.

Prepare loan submissions for weekly loan committee meetings and other management reports and correspondence as necessary.

Review UCC expiration list for maturing filings. Forward UCC lien requests to Register of Deeds and Secretary of State. Follow up to insure proper recording of liens and continuations. Prepare releases and satisfactions for loans as requested.

Review insurance expiration reports to assist account officers for renewals of collateral insurance. Follow up with the borrowers for evidence of coverage. Advise account officer of problems associated with obtaining coverage.

As directed, request from the borrowers financial statements and other financial information as required by the loan documents and the policy of the bank. Follow up to ensure receipt of the information requested. Advise account officer of any problems in receipt of this information.

Review weekly loan maturity reports and monthly reports for Board of Directors.

Provide secretarial support to the loan officers including phone coverage, mail correspondence to borrowers and bank management as needed.


Perform a range of duties pertaining to customer service, including but not limited to telephone or written correspondence regarding their deposit or loan accounts held at the bank.

NON‑ESSENTIAL JOB DUTIES:

Provide assistance to co‑workers with customer inquiries or problems. Ensure prompt and courteous response to customer inquiries.

Assist in the development of manuals and supporting documentation to accomplish tasks/duties inherent in this position.

Maintain education and professional expertise through attendance at job related seminars, conferences and workshops.

Complete verification of credit requests on customers.

Maintain forms, equipment, and office supplies inventory.

Perform other duties as assigned.


KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED TO PERFORM JOB:

THOSE REQUIRED TO ENTER THE JOB:

Clerical Loan Assistant experience preferred, or 2-3 years bank consumer, mortgage, or commercial loan processing/servicing experience, secretarial experience or equivalent education in bank credit processing/servicing procedures and policies.

Knowledge, skill and mental development equivalent to the completion of a high school education, which includes specific courses in bookkeeping, business math, and typing.

"Meets Requirements", or equivalent overall performance rating on most recent 2 years' performance reviews.

Good verbal communication skills as evidenced by the ability to interact over the telephone with customers and co‑workers. Demonstrated ability to use tact, diplomacy, and a "professional" personal appearance, when dealing with customers and co‑workers.

Ability to manage multiple tasks simultaneously in a fast paced environment and assist at other locations as called for.

Analytical (statistical), organizational, time management, and problem‑solving ability.

Specialized training in the operation of the on line computer system of the bank.




THOSE REQUIRED TO COMPETENTLY PERFORM THE JOB:

Good typing/word processing and written communication skills. Working knowledge of various word processing and spreadsheet software. Good proof reading and editing
skills.

Good knowledge of computerized system utilized to process transactions on the bank’s on line system.

THOSE DESIRED, BUT NOT REQUIRED TO PERFORM THE JOB:

Familiarity with local financial marketplace (competitors, demographics, geography, industries, etc.)
